Position Mission
|
The role of Recruitment EA is an all-encompassing role, where you will be responsible for 360’ of the client’s development and needs along with supporting the Managing Director. This role is a split between Executive Assistant duties and Executive Recruitment duties. This role is working for, and reporting directly to the Managing Director of Company. The role is fast paced with a high level of responsibility.
As a 360 degree recruiter, you will commence with creating the relationship with the client, becoming a trusted advisor, and understanding the client’s business model, you are a true consultant. You will have a list of clients within sectors, and will be expected to expand that list, with your own business development activities. Account managing your clients at all times, you will promote suggestions for staffing requirements and fulfil those recruitment needs fully. You will need to be proficient in advertising roles, sourcing candidates, selecting candidates, interviewing, background checking, and consulting to your client until the role is filled.
Additionally as the Recruitment Executive Assistant, you will be responsible for assisting the Managing Director to administer the organisation and the work requirements of the MD. You will be responsible for managing the emails and calendar of the MD, overview of assigned projects and any requirements of the MD. This role is integral to assisting Organization to become a tight, professional, high-performing team and working together to achieve targets and grow the business.

Responsibilities
|
- Working exclusively for the Managing Director (MD);
- Diary Management;
- Email Management including responding on behalf of the MD;
- Highlighting daily issues to the MD with delegation solutions;
- Working on specific projects to facilitate emails being sent from MD to clients;
- Processing of work requests through to delegated employee;
- Sourcing candidates for specific recruitment opportunities;
- Preparing candidate profiles for specific candidates and sending to clients on behalf of MD;
- Following up on tasks MD allocates to other team members and reporting progress;
- Attending meetings in a virtual capacity;
- Following up on projects and task to assist MD to manage;
- Protect the MD from daily work issues;
- Holding confidential all aspects of MD’s work day; projects and personal and professional information.
- Recruitment Activities
- Set up individual jobs in DataBase and managing those jobs through to completion;
- Send clients Terms and Conditions and following up receipt of same;
- Attending client meetings to take comprehensive briefs;
- Follow standards for client meetings, as set out in the Organization & HR Governance Employee Handbook;
- Follow the designated consultative sales approach, as detailed in the organization’s Governance Employee Handbook;
- Forward teaser candidates to clients, quickly, in order to back up our available talent perception;
- Process candidates as needed for individual jobs - (including reference checking; skill testing; interviewing and feedback );
- Open and process all applicants that apply for roles - NB: It is policy of Organization to respond to all candidates ASAP;
- Prepare or manage Client Prepared CV’s, reference checks, and skills tests to be completed;
- Prepare Dossiers for all permanent recruitment services, based on Organization Research Based Recruitment Process with a full dossier sent to clients on each candidate;
- Direct Researchers/ DC’s to respond to unsuccessful candidates when required;
- Direct Researchers/DC’s to data enter required candidates onto DB;
- Direct Researchers/Dc’s to complete ref checks, send skills tests etc when required;
- Ensure all reference check numbers are verified and all short listed candidates have at least 2 references and at least one skills test completed;
- Develop the skills of Researchers/DC’s. Ensure all decisions around chosen candidates are based on Merit Principals and NEVER on candidates ethnicity, religion, sexual orientation, age or any other discriminatory aspect;
- Be responsible for the quality of all candidates that leave, HR’s office, for Client placements; HR Activities
- When in receipt of HR requests, set up individual jobs in DataBase and send proposals where possible;
- Advise HR team of HR work requirements;
- General Duties
- Deal with all emails that come through, following up and eventually filing electronically;
- Clear inbox each week of emails through management and electronic filing;
- Pass on phone messages and answer phone when required with professionalism;
- Abide by all service standard levels as defined in the Organization Governance Employee Handbook;
- Follow procedures in our Governance Employee Handbook particularly in regards to Punctuality, Office Appearance, Building Client/Candidate Relationships, Interpersonal Relationships, Client Complaints; and Exchange With Abundance;

Essential Functions

- Identify and engage potential candidates through various sourcing strategies.
- Conduct screening and interviews to assess candidate suitability.
- Build and maintain a strong candidate pipeline.
- Ensure alignment between job requirements and applicant qualifications.
- Manage resume formatting and database updates.
- Collaborate with clients to understand hiring needs and expectations.
- Provide regular recruitment reports and updates to the team manager.
- Stay updated on industry trends and recruitment technologies.

Qualifications, Experience & Required Skills
|
- Previous recruitment experience (ideally);
- Ability to speak very fluently and clearly on the phone.
- Higher order critical thinking;
- High level organisational abilities with the ability to delegate;
- Superior written English skills – able to write an excellent email in English in a professional and corporate manner;
- Strong and confident communication skills verbal and written;
- Strong influencing skills;
- Self-starter, intrinsically motivated and competitive spirit;
- Verbally strong with both written and spoken English;
- Strong administration & MS office skills;
- Keen to make a difference and be part of a high performing team.
